This was mentioned in the original creative request but it needs to be tracked as it's own thing.

The ask here is to brand and make pretty a sponsorship packet/pdf that will be downloadable from the conference coming soon website.

The draft google doc containing the content is in the user story. Dates more details are tbd.

I've made final tweaks here -- includes new email & twitter & website contacts.

Officially handing off to creative to infuse the 'brand ethos' and begin layout; and for legal review of the sponsor letter on the final pages:

Do you need or want a copy review on this as well?
Absolutely Matej - sorry if that wasn't clear. Please.

> Absolutely Matej - sorry if that wasn't clear. Please.

Great, just wanted to be sure. Didn't want to do it if it was unnecessary, not did I want to step on any toes.
fear not on the toes! Hack away :)
Copy has been reviewed and edited. Thanks.
awesome thanks Matej! Just need someone from legal to sign off on the letter at the end. Cheers!
Diane - do you need me to make sure the legal review happens or is this already in progress on your end.

hey Ben-
Liz is on the bug and I flagged it for 4-day turnaround a few days ago (I'm pretty sure); since I'm in Berlin if you can follow up that'd be fab. Her approval is all that is remaining to do with respect to the copy.

Thanks!
Diane

Sorry for the delay - I'll look at this tonight.
I looked at the agreement and some related paragraphs. I added some comments, but I'd like to provide an alternate agreement that is more Mozilla-like. I assume the one in the Google doc was copied from somewhere, but we usually are more evenhanded in our agreements. I'll get that to you today/tonight.
Liz-
Thank you! (and your assumption was corrected - this was 'inspired' by O'Reilly's agreements - given their track record with developer events I thought we might benefit from their learnings :).

Thanks for Mozilla-grading!
Diane
Liz do you have an updated version or an eta on when you would have it? Thanks in advance.
Flags: needinfo?(liz)
I've been working on it and should be able to finish it tonight or tomorrow at the latest.
Flags: needinfo?(liz)
Here's my revised version. Let me know what you think.
Thanks Liz - you even formatted it!

Looks good to me.

Ben: I'm thinking Stormy & the events ops team should have one more pass on the sponsorship tiers (demo tables, etc.) now that we know we are in Portland, checked out the space, etc.
Stormy: Can you review the edited document from Liz & Diane and let us know if this is good to go?
Flags: needinfo?(stormy)
Will the revised legal from comment 17 also get added to the master doc? It would help a lot if everything were in one place. Thanks.
I added Liz's doc to the master doc.

There are still a few descriptions needed in the legal section.

Liz, can we strengthen the use of space section to say we can specify more what is or isn't allowed? i.e. if we give them a table, we don't want them to show up with a big popup.
Flags: needinfo?(stormy)
Sure, I just used what was in the first draft. Once you've finished filling out the descriptions and noting any other suggested changes just need info flag me and I'll give it a once over.
hey Liz - I've added the descriptions requested. There is one outstanding request from Stormy (here and in the doc):
"Liz, can we strengthen the use of space section to say we can specify more what is or isn't allowed? i.e. if we give them a table, we don't want them to show up with a big popup."
Liz: Based on comment 23 I think this is ready for another review.

Diane make sure to use "Need Info" when requesting an action or update from Liz.
Flags: needinfo?(liz)
got it - thx Ben!
Curious - How close to final is the copy deck?

I'm building the PDF, but need the copy final to nail down the document as it could change the size depending on spans across pages.

Thanks!
Flags: needinfo?(dtate)
we're adding wire transfer info and there's one other item we want Stormy to review - all indicated in the doc.

= very close :) (Stormy is out next week so hopefully she willget to it today - I'll remind her on our call later)
Flags: needinfo?(dtate)
all issues resolved except questions for Sean on p. 2 & p. 10.

Prob good for Stormy to do one last pass to be safe.
Sean can you review the questions Diane outlines above?

Many thanks.
Flags: needinfo?(smartell)
If my comments are addressed in a way that meets with Diane and Ben's approval, I am good with the copy.
p.2 - I don't have any information on creating an MDN stats graphic. We may have to push the deadline for this doc if we need a small infographic created, given that I'm unaware of the content at this time.

p10 - let's go with 140x140 as the sponsor graphic size. Who will write that into the copy deck?

Thanks!
Flags: needinfo?(smartell)
great - we can table the infographic. I updated the text with the reqs and have one last question - also flagged another spot in the doc where the logo specs are indicated. Once we wrap those two spots up we should be set!
Ben consider this signed off.
Lovely, thanks all!

Liz -> can you do a final review of the doc just to be 100% sure we are good to go.
Flags: needinfo?(liz)
Hey all,

Just as an update - I've been churning away at creating the doc in InDesign (mildly painful but entertaining) and everything thus far within the google doc has been placed. Just laying out the submission form and I'll share tomorrow.

Thanks all!
Yep. I missed that personal deadline. Apologies all. InDesign is a bit of a pain.

Working on it now, trying to get the form sorted.

Fun week!
Here it is: http://people.mozilla.org/~smartell/viewsource/viewsource_sponsorship-agreement_2015.pdf

Letmetellyou it wasn't an easy task getting all this stuff aligned, sorted, and getting the form neatly on one page. Please review to ensure all the content is happily in there.

Enjoy!
I am so sorry for the pain Sean! I'm running by Stormy & David A - here is my input - thank you!:

1) Dates on p. 2 are Nov 10-11 but p. 1 is 9-11 so we need to fix p. 2

2) We had hyperlinks e.g. to the Manifesto p. 2 - do we want them in the PDF?

3) pp. 2 - 3 should change the # of developers we reach to "over 4 million" (note social media stats change lots on p. 3 - maybe we say "as of April 2015"?)

4) I think we should scratch the "In addition" sentence on p. 4 (just above Contact Info)

5) Change "Customize" to "Custom" on p. 5 bottom of sponsorship table

6) p. 6 not sure why we're including the table of sponsorship levels here again as there are no 'check marks' - think we should we add check mark boxes to allow the applicant to indicate the sponsor level

7) p. 7 #3b replace stormy's email with viewsource-sponsorships@mozilla.com

8) p. 10 - Exhibit A (a) - alignment is wonky
Sean can you make Diane's tweaks. Once that's done we can close this out.
Flags: needinfo?(smartell)
> 1) Dates on p. 2 are Nov 10-11 but p. 1 is 9-11 so we need to fix p. 2

Will fix.

> 2) We had hyperlinks e.g. to the Manifesto p. 2 - do we want them in the PDF?

I can add them, sure, but this will need to be printed for completion. Not sure how many people will click a link within a PDF?

Will fix these.

The checkboxes didn't stay on export, they're supposed to be there within the form. Will fix.

That said, it does seem redundant to have the sponsorship pricing matrix on one page, then within the form on the next.

> 7) p. 7 #3b replace stormy's email with viewsource-sponsorships@mozilla.com
> 8) p. 10 - Exhibit A (a) - alignment is wonky

Will fix.

Thanks!

Per email we hope to have this completed today.
Edited doc found here: http://people.mozilla.org/~smartell/viewsource/viewsource_sponsorship-agreement_2015.pdf

Please confirm the edits. Made all the changes + made it so the form can be filled out on the computer. I didn't do any fancy radio/checkbox confirmations so they could check everything off if they wanted to. That goes beyond my current knowledge of InDesigns form generation skills. :)
Diane: Can you verify that these fixes are correct and that this task is complete.

Sean, once that's done can you also upload the source indesign file to this bug.

Thanks all!
Flags: needinfo?(dtate)
InDesign doesn't do things with one file. It's a folder and series of documents, assets, fonts etc, so not entirely sure it's going to do much good posting it here.

We'll sort out how to package it up and find a place for it in the DAM.
all checks - just see this:

p. 2 - is there an extra space between "4" and "million developers" on p. 2?

p. 10 - Exhibit A (c) needs a period between "updates. The logos" > "We will display sponsor logos on website and email updates The logos of Sponsors"

I'm "on PTO" today so didn't have time to do a fine-toothed comb look at all the spacing and alignment - if this needs signoff today maybe have another pair of eyes look for spacing types of stuff?

Setting a flag for Sean to check on the two things mentioned in comment 45.

Ben, what are next steps after that?
Flags: needinfo?(smartell)
Flags: needinfo?(bsternthal)
Diane - once Sean comes back with the changes can you do a final check / signoff.

We very much want to close this one out.
Flags: needinfo?(bsternthal)
Of course. Again, prob good to have a 2nd pair of eyes too
Diane, can you suggest who that second pair of eyes should be?
Now that Stormy is back I'd vote for her as she'll be the #1 "user" of this :)
Ok once Sean updates the next version we will have Stormy finalize.
Edited doc found here: http://people.mozilla.org/~smartell/viewsource/viewsource_sponsorship-agreement_2015.pdf

Please confirm the edits. Thanks!

Diane & Stormy:

Can you review and resolve if everything is correct. If possible I would like to have this closed out today.
Flags: needinfo?(stormy)
Flags: needinfo?(dtate)
looks awesome! You probably don't want me looking at this any more ;):

p. 2 - Stormy: I suggest we remove references to "2 days" from p. 2 (i.e. remove both "for two days" in "event overview" section and "two-day conference" at "Format" at bottom) to avoid confusion with the Nov 9-11 dates.

p. 7 top: move "as of (Effective Date")" up to line above it next to "Agreement"(looks like this text was 'returned' prematurely).

p. 7 (b): move "for printing
sponsor-submitted logos." should be "for printing sponsor-submitted logos" (one line, no period)

p. 7 (c): do not capitalize "Each" in last sentence
Flags: needinfo?(dtate)
Agree with what Diane says. And:

* Having "experienced, proficient" and "substantial, meaningful" in the same paragraph seems like we are trying to hard. I'd replace the first phrase with "experienced web". The "substantial, meaningful" phrase could be something like "These substantial conversations between web developers and platform developers ..."

* Is the A in "Attachment A" supposed to be bold?

* In points 5 and 6, the spacing looks weird on the first line, as if there's an extra carriage return.

Thanks!
Flags: needinfo?(stormy)
Thanks for the feedback. Sounds like we're almost there.

Sean, when you make those changes, please capitalize "Web" in Stormy's lines in comment 55.

Thanks for the eagle eyes!

Thanks Sean for all the revision.

I am going to officially close this out. If we discover new issues we can re-open.

Sean, would it be possible to get the source files for this so we can make minor changes as needed? Thanks!

To clarify, a zipped InDesign package is fine.

Sean is on PTO this coming week. When would you need this by?

As soon as reasonably possible. We already have some minor changes to make. Would it be possible to get by early next week?

Should be fine. Thanks.
Note:

Mary Ellen commented that the packet and the website are using a slight variation on the mozilla wordmark that should not be used yet. Sean - when you deliver the packet source files to Christie please make sure to use the old mark.

The above link has been updated with the correct Mozilla wordmark.
I'd very much like to keep the InDesign files within Creative as we've had problems in the past with multiple versions of documents floating about. InDesign projects aren't the easiest thing to ZIP up and hand off / manage.

With all the specifics I baked into the layout it might be best to just hand us a list of tweaks to implement vs. the learning curve on your end to sort out page overflow design choices when content is shifted.
Flags: needinfo?(smartell)
Sean - could the DAM help us with the versioning and/or review?

My concern here is that if you are the only person who can update this, if you are on PTO or super busy, minor changes will always be blocked by you.

If we have this in the DAM (for example), Christie could make any minor changes, changes that were not minor we would likely still need your help with.
Flags: needinfo?(smartell)
I'll look into packaging it up and documenting the settings needed for export (it's an interactive PDF). If any changes alter the flow of content so they spill onto another page, that'd need to be escalated to Creative.
Flags: needinfo?(smartell)
Perfect, thanks!
Packaged up, going to get Ty to remind me how to carve out a place on the DAM in the morning. I'll be adding all the View Source assets then.
Sean can you upload this to the DAM? I just got ping'd via email that the MDN team needs to update the dates and venues.
Flags: needinfo?(smartell)

The DAM is spitting out an odd URL, let me know if you can navigate to the above folder. If not, I'll look into getting a properly generated URL.
Flags: needinfo?(smartell)
I can't access the DAM at all right now. Working with Servicedesk. Will confirm as soon as that's resolved.
Okay, got access to the DAM and was able to download and use files. Thank you! I will upload any revised files as I make them.
