Finance would like to explore the possibility of creating a Finance Bug portal to track signature requests (offer letters, banking documents, contracts, PO requests). It will be similar to the Legal bug which is Finance driven.

Who should we discuss this with?

Thanks!

Winnie, I think I've moved the bug to the right component. Someone will be able to help you out here.

winnie,

i'll send you an email so we can arrange a time to discuss your requirements.
Per my conversation with Dave last week, here is the list of fields we would like on the bug portal. The default recipient of this bug should be Maya Barrow. Thanks!
Summary: Creation of a Finance Bug Portal → Creation of a Finance Bug Entry Form
Thanks Byron. Is there a link that I can test this entry form?

I have a test form on our devel instance of BMO that you can take a look at:

https://bugzilla-stage-tip.mozilla.org/enter_bug.cgi?product=Finance&format=finance

You may not have an account on their yet. If you do not let me know and I will create one and email you the password.

Also it is causing an error upon submission that I am not yet sure of what it is as I cannot see the logs. I will work with IT to see if I can find out what it wrong. It works fine on my local copy.

Couple of additional things I would need to know to finish this up:

1. I need a brief description of each request type to display when a user selects one from the drop down.
2. Should all fields or some fields be mandatory? I just need to know which ones.
3. Also each request type (component on the backend) can have one or more people automatically cc'ed when selected so if you want that I will need the list of people per type.
4. Also I need to have a list of users that need to be in the 'finance' permission group that the bug is placed in.

Thanks
dkl
Summary of how I am setting this up per our conversation last week:

1. New product in Bugzilla called: Finance
2. A new permission group called 'finance' that any new bugs will automatically be placed into so that they are only visible to the reporter and those in the 'finance' group.
3. Creating a new list of components that will map to request type list:

Accounting/Audit
Bank Document
Contractor Contract
Offer Letter
Purchase Request Form
Vendor Agreement
Vendor SOW

4. A custom entry form will be implemented for the Finance product that asks the reporter specific related questions. Default values will be selected for other Bugzilla fields not relevant.
5. Winnie will provide us with other information such as component default cc list members and who should be in the new 'finance' group initially.

Please correct anything that doesn't look right/

dkl
I've added Winnie to cn=BugzillaTesters,ou=groups,dc=mozilla so she can look at the site.

Winnie, you'll have to login to bugzilla-stage-tip.mozilla.org with your LDAP username and password first, then Use your Bugzilla username with the password provided by dkl to test out the page mentioned in comment #5.

Do let us know if you have any questions.

Sorry, this wasn't needed. Winnie, please disregard my previous comment.
Thanks guys! Will take a look today/tomorrow. Adding Maya to test too. Thanks!
Also adding Liz to the bug. We talked about doing a shared bug where a Finance bug can be dependent on a legal bug for legal reviews
Winnie, all the areas we covered are in the attachment. We can remove "offer letter" from the pulldown menu as Debbie can now sign for MZ Denmark...
Offer letter has been removed from the drop down. Any other issues found with this form? We missed this weeks code push to production but we can definitely get this out next week if this is satisfactory.

Thanks
dkl
hey guys, i just tried to go to the test form from the link above and it didn't work. can you please add Maya as well.
Hi Dave - Just finally got a chance to log into bugzilla-stage-tip and generally it looks good. But now I would like to break up the description into multiple questions. Please see attached word doc. Other than that, it looks good! Thanks so much!
Just reviewed the revised form on bugzilla-stage-tip, the Business Objective is missing the description "Which Initiative or Overall goal this purchase is for. i.e. B2G, Data Center, Network, etc"

In addition:

1. All fields should be mandatory.
2. Added another revised list (see attachment) to show whom to copy when each of the request type is selected.
3. List of users that need to be in the 'finance' permission group: Maya Barrow, Winnie Aoieong, Jim Cook, Alan Chang, Irina Parievsky, Serena Bleier, Jennie Strom, and Bree Tipper

Will do a new version of the form with the above changes.

These are things that will be set when we create the product in production after the form is pushed live. The request types in the drop down are really just components to Bugzilla on the backend and we can set a default CC for each one individually.

New form uploaded for feedback.

Sorry two more changes:

1. After "Name of Other Party", add this section back:
Description: Short description of what is being asked to sign [Free Form]

2. From "What is this purchase?" to "If this is a purchase order, what are we purchasing?"
(In reply to Winnie Aoieong from comment #20)
> 2. From "What is this purchase?" to "If this is a purchase order, what are
> we purchasing?"

If we word it that way, it sounds to me like the question is not mandatory. What happens if it is not a purchase order? Are they still required to enter something in that field? Also how would a negative answer affect the values for the questions below it?

Thanks

Also I didn't notice before, but we already have this wording for the Summary field so it would be duplicated if I add another.

The question is still mandatory. If it's not a purchase order, they will type "No". If it's PO related, then all the questions below will need to be answered. Otherwise they can just be N/A.

Can we change the name from Summary to Description then? After that, I think we're very close. Thanks Dave!
Ok. I have updated the test form with the requested changes. If we can get this wrapped up we can push it with tomorrows update to production.

Actually I closed this prematurely as I still need some additional information when creating the final product in Bugzilla.

I will need brief component descriptions for each of the following that will display when they are selected in the form:

Vendor SOW [cc: Maya Barrow]
Vendor Amendment [cc: Maya Barrow]
Offer Letter [cc: Maya Barrow]
Purchase Request Form [cc: Maya Barrow, Winnie Aoieong]
Bank Document [cc: Maya Barrow]
Accounting/Audit [cc: Maya Barrow]
Contractor Contract [cc: Maya Barrow]

I have pushed the code needed for the form to work but just need to create the components and new group to finish up.

Once I get a brief description for each of the request types above, I can wrap this up.

thanks
