We're trying to order and prepare swag packs in time for June. Shirts, table clothes, stickers etc.
@Anthony can you provide us with some cost info for shirts and table clothes, and shipping based on the country data attached from the last year.
Amira, can you provide total qty of shirts by size and number of table clothes?

Hi Anthony,
This will be an iterative, order by order process spread over 3 months.
So we need to solve for how that happens. Do you bulk order and distro? Do you nul order and we distro? Do we stand something up quickly and send out coupons? Etc.
Flow:
- Someone tells us they are running an event sonehwere in the world.
- They tell us how many people are coming
- We send them a box of swag

Nul = bulk
Geoff, I think to get good blank prices you will need to bulk unless we can find a print on demand vendor.
I have asked a contact at CafePress if they can ship from the UK to get royal mail rates - however I think their press is eastern Europe so not sure if an option. We might be able to route through a UK warehouse to use royal mail. I will ask another contact if they could forward packages and what the rates would be.

Another option would be to bulk order the swag and have it shipped to a company that can package and ship the orders as they come in.

Amira, can you tell me how many total shirts by country or best guess (i know you said 3-20 but need closer total number).
Jed and I discussed today and we might be able to get made in India and possibly shipped. Typically the minimum is 1200 shirts to get any kind of savings($3-5 per depending on volume).
Printing on demand per order will have a steep premium also unless a cafe press type solution can work from a shipping standpoint. I did not hear back today yet from them.
The shipping cost from the US does not make any sense as it is $30 USD to most of the countries you listed. My UK warehouse owes me some shipping cost from UK. Do you by chance have cost when it was shipped from UK?

I don't have costs from UK but can dig to see if I can find any.
It would be hard to do some guessing. The order number I attached in the bug were for boxes, not number of shirts. Boxes ranged in 6-12 shirts so you can imagine the number of shirts being *much* higher than 1200. I'll dig into this too but I would would take those box numbers and times by 10 to get approx. shirt numbers by countries.

It's sounding more like a 2 supplier solution. One for the production and one for on demand shipping. Anthony?

It probably will have to be a 2 supplier solution - but if we can find a print on demand vendor in UK that would cover 65% (for just UK and India) of the shipments and could be the cheapest solution.
I did a quick search and found a few and tried calling but did not get answer so will try early tomorrow morning. I am calling zazzle now to see if they are an option as I have not heard back from cafe press yet.
If we take $4/shirt plus worst case 30/shipment that is $150k not including the table cloths. Ultimately, you guys will need to establish a budget so I can determine if the suppliers I am talking to can work within those numbers.

I talked to our warehouse option in UK and he has been out traveling so will get back to me tomorrow with some pricing. Once we have these numbers we can decide if bulk pricing of shirts will work with their fulfillment cost.
I also called a few UK print on demand companies that might be an option - I am going to send them details to see how their pricing looks.

I also just received this information:
Shipping in the UK is £6.60 up to 20kg than 0.30p per kilo up to 99 kilos
Total for Mens T shirts is 2000( 400 of each S,M,L,XL and XXL)
Total for Ladies T shirts is 2000( 500 small,500 medium,500 large and 500 x large)
I'm waiting on info on how many shirts were sent to each country.

Geoff, did you have a tax ID in UK for Maker business?
If we use a UK warehouse - Mozilla will need to be the importer of record and have a tax ID - I am not 100% sure how this will work since you are not selling anything but as an importer you will pay import Duty and import VAT on COST. If we source shirts in EU then there should not be any import duty but cost might be offset by higher shirt cost - looking into that now.

We have a VAT number in the UK but there are certain issues around that (specifically around the declared purpose of our business in the UK which I understand is related to MozFest). So I am not sure if we would be able to claim back VAT in this case, which would be costly. I would need to look into this with Deloitte, which handles our VAT filings in the UK.

Im expecting a quote from a UK warehouse we work on storage and pick/pack fees tomorrow.
Any update on if we can use the Mozilla VAT registration to import goods into country?

I received these numbers today for warehouse which are pretty reasonable. I was given shipping cost with tracking which is way to expensive so I am confirming International Economy (previously known as Surface Mail) is an option - http://www.royalmail.com/sites/default/files/RM_OurServices_Mar2014.pdf

Just FYI, we're just waiting for Deloitte to get back to us with an answer on whether or not we can use our tax number in the UK for this purpose. As soon as I hear back I will let you know. It will be a day or two.

Geoff I am waiting on numbers from our China supplier to see what rate we can get on shirts and table cloths.
I would give you a time to expect but based no how this has been going it would be wrong. I will have something this week for sure.

Geoff, determined China production will take too long. We are talking to Mexico supplier and an India supplier. We are aiming for ~$2/shirt, poly bagged with size sticker. Are you ok with blank tag or do you need Mozilla label (eg more cost)? The cost to do 4k-20k is about the same so we will just launch with 4k shirts.
The warehouse pick fees are pretty standard - but I have another quote from a UK vendor I am waiting on. We are also trying to determine if India warehouse can pick/pack for local orders.
We are also trying to source table cloths so that price is TBD.

Geoff, India has a 75 day lead also. We are talking to a company here in denver that does MX production - he is putting a quote together.
One question - do these need to be multi color like before - gray/black/red on white or a single color like the sold black(any color for that matter) on white tee per style guide? http://www.mozilla.org/en-US/styleguide/identity/webmaker/branding/

That is a cost-driven decision.
Ideally, it's the colour logo on a red, gray, or white shirt.

These are MP shirts. We decided to do a different approach that was branded MP but included Mozilla and Webmaker logo's as well. So we are not doing any Webmaker shirts.

Do you already have someone producing these shirts so I don't need a quote?
Do you have a warehouse to distribute?
The UK warehouse numbers above are good to go. I have another note to expeditors which has India warehouses and they will have a UK quote next week or first week of June as their UK contact is out on holiday.

I can but ordering in time for MP implies that we don't need it done until mid-July whereas the emphasis for us is to get it up and running in a few weeks so people can order their gear before their July events. Still want it changed Matt?

Yes, it's a bit complex (and honestly am not sure if this will be worthwhile as an exercise) but our tax advisors in the UK have asked us to provide a lot of additional information in order to be able to provide an answer (it's not an entirely straightforward yes or no at this point).
I do need your input on a couple of things that they asked:
1. Please confirm the amount of input tax Mozilla Foundation expects to incur with respect to the ‘Maker Party’ campaign. Specifically,
a. If Mozilla Foundation is purchasing the goods from a UK supplier then please confirm an estimate of the value of goods likely to be purchased in a quarter.
b. If Mozilla Foundation is not using a UK supplier, then please confirm an estimate of the value of goods likely to be imported into the UK in a quarter.
2. Please confirm the approximate cost of all the goods provided to an organizer of a ‘Maker Party’ event?
