I understand that admins are busy but those 5 threads are from the first page. Who knows, if there are more that have been set back. Madalina said: "There is no specific person tasked to do this from the Admin group, I assume mainly because there's always some meeting, travel time, crazy issue that might appear so we are pretty much counting on each to pick this up. Which obviously doesn't work." But that was the last we heard from it. Since then, [attn:admin] has been building up. John stated that we could chase admins in IRC but that's time consuming, also he mentioned about talking on IRC but there's no public record of that and/or decisions made. I made an idea on https://support.mozilla.org/en-US/forums/contributors/709814?last=56601#post-56387 and it basically suggested that devs build (or if it's available) a tagging system into Kitsune so we can tag a specific admin and that admin gets e-mailed into a special Tagging folder in their email or send them an SMS. So, is this a good idea or is there any other options to implement?

(that way we can do needinfo for madalina, john99 or anybody who's an expert not just admins) other ideas: make more people admins, assign a thread to a staff, admin or contributor for followup

I am -1 on turning kitsune/sumo into bugzilla with NEEDSINFO, etc for admin tasks. I would like kitsune to focus on what it's good at: a platform for community support. For admin tasks, I think we should try to fix them with better process. It's up to the admins to decide how they prefer getting their attention called. If [Attention: Admin] isn't working, then let's ask ourselves why isn't working? Should admins create email filters that highlight these threads in their inbox? Should we tell users to send an email to an alias or mailing list instead? Maybe the best thing is to tell them to file a bugzilla bug. That's what bugzilla is good for after all. We could create a template that prefills all the fields and the bug gets assigned to an admin automatically. Also, I've noticed that a lot of these [Attention: Admin] threads appear in the weekend. No matter what we do, they will usually sit waiting for a response until a business day.
I agree with Ricky, we should fix issues that we can by process, and we are doing that. Ricky just landed a feature to "show what article is linking to an image". Now we should be able to allow mods to delete emails (needs discussion though). Same with deleting a user profile, which is being tracked in bug 726941. However, there are things we can't solve with process, guideline discussions come to mind, and I don't think a notification system will change anything there. In general, if it's a repetitive task we should be able to automate it away or at least distribute it to more people.

Is one or more of those marked [Attn Admin] ? NO - Job done YES - Answer the question fully and remove marking. - Or add comment saying who is responsible & alert the correct Admin to the existence of the post by any effective means. - (Or remember to follow up, yourself if not fully resolved and you added your own name.) THEN Review are any unseen threads still marked on a first page, repeat as above. If we do go down the route of marking for Named Admins will that named admin in future remember to review the forums and add a comment in any thread marked with that Admins name. I will mark this needs info Rachel & Patrick.

Hi John, I'm not 100% sure if it will work but it might be easier to handle. It will eliminate the possibility of the thread being seen by Admins but expecting somebody else to pick it up because that person has more expertise on the subject. Also it will be easier to call on people or even set expectations: for example if a thread is marked "Attn X" and X is traveling or on holidays then somebody will be able to say it so that the participants in the discussion do not get frustrated and know what is going on. As I said I do not want to add more bureaucracy but I'm open to trying solutions and see what works better.
Hi Madlina, I do not think contributors really care what method is used. We are looking for any method that works. Tell us what works from an Admin's perspective and we will try to do that. IMHO The only exception is IRC. I just can not see that working across different time zones. Of course there are Admins in different time zones and if you can set it up so a nominated Admin monitors IRC and we can use IRC 24/7 that will be fine. I imagine that could require a lot of coordination and messaging between multiple Admin's & I suspect too many messages would fail to get through. Personally as we know the [Attn Admin] method is simple, needs, no development time or much bureaucracy we could just go back to doing that. Really it is up to Admins to decide what can work and make suitable arrangements.

I guess the [attn admin] markings are being ignored again, with no rota for anyone to look for them, although maybe recently we have had staff posting a bit more on the forums.

Madalina, you mentioned "just send a PM" in comment 7 so is that how you want these issues handled? Should the PM be sent to one admin (you) or to other admins, in case you're not available? In any case, if PM is the way to go then that should be documented (such as adding "PM sent to Madalina, Kadir, Ibai" in the forum thread on the issue) so that others know what's going on. This particular issue was resolved by Noah-SUMO who (it seems) "chased down" an admin via IRC. I don't think that contributors should be expected to to that, whenever admin attention is needed.

Deactivations are easy, it's a time like this where a Moderator screws up and needs to fix it ASAP. I don't know if adding the ability for Mods to reactivate accounts has been discussed or not, but it could help for times like this.

Is adding "Attn: <specific admin>" to the thread title your preference? I don't see how that would be any better than "Attn: Admin" since other admin should know if the thread relates to their area of expertise and should respond to the "Attn: Admin" thread. I agree with John99's comment in https://support.mozilla.org/forums/forum-moderators/710225#post-59018 "Admins should take an interest in the Forum especially if we mark a thread a Attn Admin, or where a Moderator top contributor is trying to get help or advice." In other words, there wouldn't be a need for this bug if more admin read the discussion forum on a regular basis, without waiting to be notified by an "Attn: Admin" email or PM.

We didn't have this big of a problem a couple years ago (or months?). I wonder what happened...No new admins left, new ones joined (Helpdesk). I'm just failing to see why this "attn:admin" notification tanked. I don't need an admin often but when I do, I don't want to chase them around, let alone send a PM as it'll most likely get lost, and the same is with an e-mail because I doubt that admins spend an hour reading through their e-mail. On a unrelated note that could be related to this, Kadir has proposed a community hub as the contributors "one stop shop." He also mentioned (I think) having a system where we could see who is online. Maybe we can do something with that duplicate Facebook's chat into Kitsune.

Giving Moderators permission to take actions currently restricted to admin is one way to reduce "Attn: Admin" threads. It won't help in other areas, though, such as getting admin to complete action on new Forum Guidelines, which is over one year in discussion. Let's get this rolling again! Madalina, do you have any ideas on how to solve this issue? Preferably when you're back ;) Obviously, we need some concrete way to get attention from an Admin. I don't see the HelpDesk active anymore as it's usually just Rachel bouncing around (any idea what's up with Patrick? Is he even a part of HD?). John99 suggested that we get HelpDesk involved with Admin duties.

I added a reminder to look at new threads as well as last responses for the time being, but I like the idea of "Attn: Admin", would this send an email? text message? Has there ever been something in sumo along the lines of "admin on duty"? TL:DR * Employ the mark one eyeball as mentioned above (my comment 8 ) * This bug relates mainly to the Contributors forum rather than the support forum * The AAQ support forum already has the (probably rarely used ) Escalate tag * I have a proposed solution, use a new flaggit for attn admins on the contribs fora Rachel Some background Information *FLAGGIT* There is a report abuse button. (That may be better named as something else.) It has been on the support forum for a long while. It is often responded to by Mods in minutes or hours 24/7. That feature is now added to other fora. Bug 570433 - Turn on flaggit for forums Note that is a good example of the sort of issues we get. That was a four year old bug, it got the attention of Madalina as forum champion and it was fixed within days. Without getting Admin attention some issues will never progress. *[ATTN: ADMIN]* [Attn: Admin] Traditional and historic use as prefix in thread titles. This still works perfectly well in the Knowledge Base forum, and prior to the hiving off of separate discussions into article discussion threads was the primary and low tech method of controlling and monitoring threads. Method in KB forum As an Admin: Quickly scroll through the threads by title look at anything marked Attn Admin, attent to it and remove the prefix from the thread title. For the KB forum other status prefixes were also used to indicate the progress on a particular thread. Other CONTRIBUTOR fora also used and still attempt to use [Attn:Admin] Until maybe a couple of years ago it worked almost flawlessly. If a contributor felt something needed attention from an Admin and it was getting overlooked. (After all no-one expects even a dogfooding forum champion to read all threads let aloe all posts) All that needed to be done would be to add [Attn:Admin]to the title and sooner rather than later a helpful Admin would pop in to comment. That no longer happens. Contributors do not need to know how Admins organise themselves individually or how they cover collectively, but getting attention of an Admin is slow or difficult. I image the factor that change was say the KB forum would have one Admin continuously probably each day monitoring at leas thread titles and expecting to get involved. Now ther are multiple fora that may need Admin attention on some thread, and multiple Admins probably only in the KB forum does anyone properly monitor all thread titles. Even in the relatively quiet but important Mods forum it is difficult to get Admin attention. So moderation issues can snow ball and go unattended. Something* has happened on the support forum and a Contributor has drawn my attention to it by using the report abuse button. This is outside the scope of my authority /judgement and according to Moderation guidelines I need an Admin to deal with this. A thread has been started in the Private Mods forum. But no Admin is dealing seeing and dealing with this. I need a method of getting Admin attention. * Examples of "Something" |SEO links and text in a profile.| Mods not reaching consensus on whether a particular link is spam| A particular user is spamming or genuine | A user is making a complaint The Contributor I have an issue* it needs Admin attention not merely a Mod I have posted a thread and been told to wait for an Admin to deal with this, nothing is happening. * Examples of "issue" |Wishing to file or ask for action on a Sumo related bug. | Forum fault has been discovered. | Wishing to discuss Sumo policy. | Wishing to complain about another user or Moderator.| Wishing to join a particular group and having problems.
John, Another idea would be is that when we add [Attn:Admin] to a thread that every admin gets notified with a new e-mail saying: ---------------- Hi SUMO Admins! A new thread has been marked as {Attn:Admin) and is requiring administrative action. Individual Admins could easily set their email filters appropriately and set those as required if for instance they are on duty or standing in for someone on PTO direct them to a high priority location. If they are just generally monitoring send them to a lower priority location,and if they are off duty or unconnected with Forum matters send them to Junk. It may be a much better solution than relying on Admins to eyeball the forum. Such a solution does not need continual changing. No need for a developer to make changes as say Admins change duties or responsibilities, and does not depend on a single Admin in the forum keeping any listing up to date by making changes. Individual Admins make simple changes to their email filters. The disadvantage is Mods & Contributors would not be able to see the listing. But we would not need to. We could fallback on eyballing the Forum. However no-one should really even need to even do that; if whatever the system is works; there will be almost nothing to look at most of the time.
These are all interesting solutions but the main problem seems to be the lack of enough Admins. Let's see if we can solve this by just increasing the number of Admins that are assigned to look after the forums.

We're now back to having a decent number of Admins so the procedure should be pretty simple: Admins will check the forums on a regular basis (and have notifications on). If you need Admin attention just mark the thread [Attn Admin] and/or ping/email/PM the particular Admin(s) in charge. You can find the names of designated Admins for particular forums and products here: https://support.mozilla.org/en-US/groups/kitsune-champions. Be mindful of time zones and busy times and allow Admins at least one day to reply. If Admin is on holiday/sick leave just ping any other Admin from the above list on IRC #sumo (Admins who are away for the week are announced every Monday community meeting on the etherpad). Admin response might be slower during holiday times (such as 24-31 Dec) or workweeks/travel times. These however will be announced.
